Privacy Notice
Last updated: October 3, 2026
This Privacy Notice explains how Jiva Creative, LLC, doing business as CrewCall, collects, uses and shares personal information. "CrewCall," "we," "us" and "our" mean Jiva Creative, LLC. CrewCall is a web platform that event producers use to plan and run live events. This notice covers our website, web application, public API and related services, which we call the "Services." Capitalized terms not defined here have the meaning given in our Terms of Service.
Summary
- Two roles. For your own account, CrewCall decides how your information is used. For information producers put into their events about crew, speakers, clients and guests, the producer decides, and we process it on their behalf.
- No selling, no ads. We do not sell personal information, share it for targeted advertising, or use advertising or analytics trackers.
- Some sensitive information. Producers may record dietary needs, allergies, health notes for catering and safety, and emergency contacts. We encrypt those fields and use them only to provide the Services.
- Service providers. We rely on a short list of providers for hosting, payments, email, text messages, AI features and monitoring. They are listed below.
- Your controls. You can download or delete your account data from your profile, or submit a data request.

1. Our Role and the Producer's Role
CrewCall is used by production companies, agencies and event teams, whom we call Customers. Customers put information about other people into CrewCall to run their events: crew rosters, call times, pay rates, travel and hotel details, speaker bios and headshots, client contacts and more.
- Customer Data. For information a Customer puts into its events, the Customer is responsible for deciding what is collected and how it is used. We act as the Customer's service provider and process that information only to provide the Services to that Customer, under our Terms of Service. If you are crew, a speaker, a client or a guest and have a question about information an event team holds about you, please contact that team directly. If you contact us, we will forward your request to them where we can.
- Account and business information. For information about people who sign up for, buy or use CrewCall, such as account details, billing records and support conversations, we decide how it is used, as described in this notice.
2. Information We Collect
Information you give us
- Account information: name, email address, password, company, job title, phone number, profile photo and preferences.
- Billing information: billing contact and plan details. Card payments are handled by Stripe. We do not receive or store full card numbers.
- Event and profile information: anything you or your team enter into an event, which may include contact details, roles and departments, call times, hours worked, pay rates, travel itineraries, flight numbers, hotel reservations, meal assignments, dietary needs and allergies, emergency contacts, bios, headshots, files, scripts, messages and comments.
- Support and communications: messages you send us, feedback, survey answers and data requests.
Information collected automatically
- Usage and device information: IP address, browser and device type, pages and features used, timestamps and referring pages.
- Logs and diagnostics: error reports, performance data and an activity log of changes made inside events, which producers use as an audit trail.
Information from other sources
- Sign in providers. If you sign in with Google, GitHub, LinkedIn or Slack, we receive your name, email address and profile photo from that provider. We do not receive your password or contact lists.
- Connected services. If you connect a calendar, cloud storage, project management, chat or music service, we receive the data needed for that integration, such as calendar events, file and folder details, tasks or playlists. You choose which services to connect and can disconnect them at any time.
- Your organization. A Customer may add you to an event, import a crew list that includes you, or invite you to CrewCall.
- Data services. We look up flight status and weather for event locations using flight numbers and places, not personal profiles.
We do not buy personal information, and we do not collect information from data brokers or marketing partners.
3. Sensitive Information
Some information in CrewCall is considered sensitive under certain privacy laws. Producers may record dietary needs, allergies and health notes so that crew and talent are fed safely, and emergency contacts in case something goes wrong on site. Pay rates and hours are recorded for labor tracking.
We encrypt health, nutrition and emergency contact fields at the application level, in addition to encrypting stored data and connections. We use sensitive information only to provide the Services, and never to infer characteristics about people, for advertising, or for any purpose other than the event it was collected for. Event teams can limit who sees it with roles and permissions.
CrewCall is not designed for government identification numbers, passport numbers, bank account details or medical records, and we ask Customers not to upload them.
4. How We Use Information
We use personal information to:
- provide the Services, including creating accounts, running events, sending notifications and generating reports, exports and archives;
- process payments and manage subscriptions;
- provide support and respond to requests;
- keep the Services secure, including detecting fraud, abuse and unauthorized access;
- monitor performance, fix bugs and improve the Services;
- send service messages, such as security alerts, billing notices and changes to our terms; and
- comply with law and enforce our terms.
Where privacy laws require a legal basis, we rely on performing our contract with you or your organization, our legitimate interest in operating and securing a business service, compliance with legal obligations, and, where needed, your consent.
5. How We Share Information
We share personal information only in these situations:
- Within your event team. Information in an event is visible to the people the event team gives access to, according to the roles and permissions they choose. This can include crew, clients and portfolio viewers that a Customer invites.
- With service providers who help us run CrewCall, listed in the next section. They may use the information only to provide services to us.
- With services you connect. When you connect an integration or ask us to send something, such as an email, a text message, a calendar feed or a file sync, we send the relevant data to that destination.
- For legal reasons, when we believe in good faith that disclosure is required by law or legal process, or is necessary to protect the rights, property or safety of our users, the public or us. Where the law allows, we will notify the affected Customer first.
- In a business transfer, such as a merger, acquisition or sale of assets, subject to this notice. We will notify you before your information becomes subject to a different privacy notice.
- With your permission, or at your direction.
We do not sell personal information, and we do not share it for cross context behavioral advertising.
6. Service Providers
These are the categories of providers that process personal information for us, with examples. All are located in or process data in the United States unless noted.
- Hosting and storage: Laravel Cloud, which runs on Amazon Web Services, and Cloudflare R2 for files and media.
- Payments: Stripe.
- Email delivery: Resend.
- Text messaging: Telnyx.
- AI features: Anthropic for the AI assistant, summaries and suggestions, and ElevenLabs for generated voice announcements.
- File conversion: CloudConvert, for previews and format conversion of uploaded media.
- Monitoring: Laravel Nightwatch, for error and performance monitoring.
- Travel and weather data: flight status and weather providers, which receive flight numbers and locations only.
Integrations you connect, such as Google, Microsoft, Dropbox, Box, Asana, Slack, Jira, Spotify and Apple Music, are not our service providers. They receive data because you choose to connect them, and their own privacy policies apply.
7. AI Features
When you use an AI feature, the event information needed for that request, such as a schedule, script or question, is sent to our AI provider to generate a result. We do not use your information to train AI models, and we use AI providers under commercial terms that do not permit them to train their models on it. AI features are optional, and event teams can choose not to use them.
8. Text Messages and Mobile Numbers
If you give a mobile number to CrewCall or to an event team that uses CrewCall, you may receive event and account notifications by text message, such as call times and schedule changes. Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt in data and consent will not be shared with any third parties. We share mobile numbers only with the text messaging providers that deliver messages for us.
9. Cookies
We use only the cookies needed to run the Services: to keep you signed in, remember your preferences, and protect forms against forgery. We do not use advertising cookies, tracking pixels or third party analytics. Because we do not track you across sites, there is nothing for a Do Not Track or Global Privacy Control signal to turn off, but we will treat either as a request to opt out of any future sale or sharing.
You can block cookies in your browser, but you will not be able to sign in.
10. How Long We Keep Information
- Accounts. We keep account information while your account is active. When you delete your account, we immediately replace your name, email address and other personal details with anonymous placeholders, so that shared event history, such as who changed a cue, still makes sense without identifying you.
- Customer Data. We keep event data for as long as the Customer's Organization exists, or until the Customer deletes it. After a subscription ends, we keep it available for export for 30 days and may delete it after that.
- Billing records. We keep invoices and payment records for as long as tax and accounting law requires.
- Logs and backups. Diagnostic logs and backups are kept for limited periods and then deleted on a rolling schedule.
11. Security
We protect information with encrypted connections, encryption of stored data, additional application level encryption for sensitive fields, role based access within each event, two factor authentication, and limited internal access. No system is perfectly secure. If we learn of a breach that affects your personal information, we will notify you and the affected Customer as the law requires.
12. Your Choices and Rights
- Access and download. Download a copy of your account data from your profile.
- Correct. Update your profile at any time. Information an event team entered about you can be corrected by that team.
- Delete. Delete your account from your profile.
- Marketing email. If we send product news by email, every message will include an unsubscribe link. Service messages, such as security and billing notices, are not optional.
- Text messages. Reply STOP to any text.
- Integrations. Disconnect any connected service from your settings.
For anything else, submit a data request or email hey@crewcall.team. We will verify your identity before acting on a request and respond within the time the law requires. If your request concerns information an event team holds about you, we will refer it to that team.
13. Additional Rights for US State Residents
Depending on where you live, including California, Colorado, Connecticut, Virginia and other states with consumer privacy laws, you may have the right to:
- know what personal information we collect, use and disclose, and access a copy of it;
- correct inaccurate personal information;
- delete personal information;
- receive your information in a portable format;
- opt out of the sale of personal information or its sharing for targeted advertising, although we do neither;
- limit the use of sensitive personal information, although we already use it only to provide the Services; and
- not be discriminated against for exercising these rights.
In the past 12 months, we have collected the categories of information described in section 2, from the sources described there, for the purposes in section 4, and disclosed them for business purposes only to the recipients in section 5 and section 6. We have not sold or shared personal information for advertising.
You may exercise these rights yourself or through an authorized agent by submitting a data request. If we deny your request, you may appeal by replying to our decision, and we will respond in writing. If your appeal is denied, you may contact your state attorney general.
14. Where Information Is Processed
CrewCall is operated from the United States, and information is stored and processed in the United States. If you use the Services from outside the United States, your information will be transferred to the United States, where privacy laws may differ from those in your country.
15. Children
The Services are for people 18 and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us at hey@crewcall.team and we will delete it.
16. Changes to This Notice
We will update this notice when our practices change. If a change is material, we will notify you by email or in the app before it takes effect. The date at the top shows when it was last updated.
